Job Description

This position will provide day-to-day administrative support to our Paving Division. The Administrative Assistant position must have strong attention to detail and maintain confidentiality at all times. Critical for success are the abilities to multitask, organize, and prioritize.

The essential duties and responsibilities of the position include, but not limited to:

  • Maintain and promote a strong safety culture for all employees, vendors, and customers and follow all safety policies, procedures and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.
  • Provide administrative support to department: schedule meetings, process mail, assist with correspondence, make copies, maintain standard department materials and manage distribution.
  • Write, proofread and distribute correspondence, reports, and letters as requested.
  • Create and submit invoices for services rendered in compliance with financial policies and procedures.  This includes processing subcontract invoices, lien waivers and the use of online billing systems.
  • Perform transactional data entry into systems with a high degree of accuracy. Scan, organize, and file project documents.
  • Work with corporate and divisional support on a variety of clerical related tasks.
  • Assist management with development and assembly of presentation materials.
  • Assist with the creation of RFI’s, Submittals and Change Order Log’s.
  • Monitor bid distribution sites to find and track new opportunities.  Present findings to management.
  • Help maintain detailed and organized job files.
  • Perform project closeout activities as needed.
  • Other duties assigned.

Qualified candidates must have 2 years of related construction or administrative experience. Candidates must possess computer proficiency with Microsoft Office and demonstrate effective oral and written communication skills. Candidates must be able to manage tight deadlines and create a positive work environment with the ability to thrive in a fast-paced environment.
