Job Description

Administrative Assistant based out of Milwaukee, WI area. This position will provide day-to-day administrative support to our Pipeline Construction Division. The abilities to multitask, prioritize and maintain stringent organization are critical to success.

The essential duties and responsibilities of the position include, but not limited to:

  • Promote safety – assist with the implementation of all applicable HSE programs, policies and procedures
  • Provide administrative support to department: schedule meetings, process mail, assist with correspondence, make copies, maintain standard department materials and manage distribution.
  • Write, proofread and distribute/mail correspondence, reports, and letters as requested.
  • Check and prepare invoices for approval; route to Accounts Payable for payment and complete necessary follow up work.
  • Facilitate invoice billing: internal invoices and tracking/management of payment status.
  • Navigate, create records and update information in a work management database.
  • Call underground utility locates.
  • Work with corporate and divisional support on a variety of clerical related tasks.
  • Coordinate production and distribution of training materials.
  • Notarize appropriate documents.
  • Other duties assigned.

Qualified candidates must have 2 years of related construction or administrative experience. Candidates must demonstrate strong attention to detail, possess effective oral and written communication skills, and have computer proficiency with Microsoft Office. Candidates must be able to manage tight deadlines and create a positive work environment with the ability to thrive in a fast-paced environment. Candidates must possess a valid driver’s license and be able to lift up to 25 pounds.
